Ready to get started planning your website project? Awesome! Please take some time and review the list of items I need to get set up for your project. If you have any questions about the items at any point along the way, please send a message to vpk@victoriakeale.com.
Please submit all materials to vpk@victoriakeale.com. I ask that you send all the information in as few emails as possible, either compiled within the email, or as attachment (word document or text file). (Sending a ton of emails makes it harder for me to find information and can lead to miscommunication – so please be clear when sending emails and try to keep them organized & use the subject line to tell me what is in the email). Please submit the materials at least 1 day prior to your pre-planning call. In the event that you will not have all the information ready by that time, please send everything you have along with a note with the details of what’s missing and when I can expect it.
Prior to our first pre-planning call, I will send you a link to a planning form. This form will ask you questions about the site design, from color scheme to font choices and so on.
Please gather all information and submit via email or text attachment.
Domain Access.
- Domain URL for Project [domainname.com]
- Server Access [Hosting Account URL, Login & Password Credentials]
- FTP Access [Domain FTP Host, Login & Password Credentials]
*For all previously existing sites that are moving domains, please supply these credentials for both the old URL and the new URL.
*If you already have your WordPress Application installed on your server, you do not need to send in hosting credentials.
*If you do not know your FTP credentials, I can get them / set them up for you through your hosting account.
External Account Integration. Projects that include social network integration, eNewsletter signups, eCommerce or other outside account integration, please supply account information or access. [as needed]
- Social Networking Profile URLs [twitter.com/username; facebook.com/username]
- Social Networking Integration – Account Access [Login & Password for social networking accounts that will be integrated [some may include: twitter, facebook, ping.fm]
- eNewsletter ESP (email service provider) Access [Account URL, Login & Password. This may include: aWeber, Constant Contact, iContact, MailChimp…]
- eCommerce Access [Account URL, Login & Password. This may include: One Shopping Cart, KickStartCart, Paypal, Shopify…]
Maintenance. Projects that include the security and maintenance plugin package. [as needed]
- Google Analytics Code
- Feedburner URL
- Askimet Code
If you do not currently subscribe the these services, your accounts will need to be set up. If you would like me to set these accounts up, please provide access to your Google account and WordPress.com account. If you do not know what these are, ask! I’ll be more then happy to explain them to you or set them up for you.
Graphics. For all projects using existing pictures or graphics. [as needed]
- Logos, Headers, Banner Ad’s, Headshots
- Stock Photography to be used on site [especially for sites using the Featured Content Gallery]
- Signature graphic
- eCovers, Product Graphics or Icons
Make every attempt to supply original design files. Preferred file types are: .eps, .ai, .psd. Acceptable file types include .pdf, .jpg, .gif.
If you do not have existing graphics, please describe graphics / stock images you would like to include in the project.
Sitemap.
- List Pages and subpages [titled as you want them in the navigation menu] in their hierarchy. (i.e. Products > Books, Audio, Teleclasses)
- List pages not included in the navigation menu (i.e. a thank you page, policies, legal stuff, etc…)
- Initial Blog Categories & Subcategories in their hierarchy.
Content. For all projects that include content upload and formatting.
- Home Page Content
- 1-4 pre-written Blog Posts (please label with category and tags)
- Static Page Content [Biography, Products, Programs, etc.. As Needed]
SEO.
- Site title, site description and site keywords. This is for the overall site.
Please send your content in separate text file or Word Docs by page/post, titled just as you would like them to appear on the site. Please include all requested formatting if you are sending a Word Doc. Please include the URL for any links included in the text. Please do not paste graphics inside Word Docs unless you have send them in a separate email (we cannot pull graphics from Word Docs)

Additional Information may be needed based on your specific project and will be requested after your pre-planning call.
Please be thorough while compiling all this information. If I do not receive the information I need to complete the site on schedule, the launch may be rescheduled to the next available date.
During the pre-planning calls we will finalize the project. Any changes you make during the process not included in the project list will incur additional fees and may delay the project launch.
I want you to be jumping up and down happy about your new website when the project is done. In order to make that happen, I need you to be 100% dedicated to your project by getting me all the information I need, being available to answer questions and review the project during the process and be flexible with any limitations that exist. I also ask that you remember that I am a small business owners just like you, I have other clients, I have a family and I have other obligations to meet. During the allotted time frame given to your project, you are my first business priority – however if the project goes beyond the allotted time because of changes to the original project scope then the work will be scheduled in after my other obligations have been met. I urge you to make sure all your ducks are in a row and you are clear about the project so that you can have your site completed on time. If you feel you will not be ready by the time the project is scheduled to start, please notify me and I will be more then happy to reschedule. PLEASE ask questions!! Any time during the planning or design process, please feel free to email questions and concerns about the project.
I will provide tutorials on using WordPress and updating your new website – however you must be willing to test out the software and attempt to make changes on your own before requesting additional help. There are many tools available online for learning WordPress and all plugins have instructions on their home sites. Please be pro-active when working with your new site.
